Registration Requirements
- Coach – Athlete - Parent meeting
Parents and athletes are required to attend the meeting. All meetings will be held at the Stouffville Leisure Centre multipurpose room at the beginning of October. Date and time of the meetings will be announced in September.
- Athlete’s Swim Meet Commitment Points
Each athlete is advised to fulfill SWIM MEETS points. This point system is developed to encourage members take part in competitions. Planned swim meet attendance will help athletes follow the long-term athlete development plan set by the Club. WSSC will award an athlete with 1 point per day attended at a swim meet. Each athlete needs to accumulate the following number of points:
“A” Group – minimum of 16 points
“B” Group – minimum of 14 points
Gold Group – minimum of 12 points
Silver Group – minimum of 8 points
- Swim Meets
Athletes are expected to participate at Junior Provincials, AGE Nationals and Senior Nationals if standards are met. WSSC coaches are to select the athletes who will be registered at a meet and participate in relays. At Championship meets, for relays, WSSC coaches will select the fastest 4 swimmers in the age group coming into the meet. Coaches reserve the right to the make last minute changes to suit the needs of the Team.
- Swim Meets with "Finals"
Athletes are expected before the end of preliminaries (sometimes within 30 min of conclusion of an event) to either announce if they will participate or scratch from evening finals by notifying their coach. At Championship meets, hosting clubs, charge WSSC $50.00 ($100 at times) for no show at Finals. WSSC will pass on every expense to parents of those swimmers who failed to notify a coach on time.
- Practices Attendance
This is part of group pre-requisites and if not met, athletes may lose privilege to remain
in the current group.
“A” Group – 93 % or higher
“B” Group – 93 % or higher
Gold Group – 93 % or higher
Silver Group – 93 % or higher
- Club Dress Code & Equipment
All swimmers are expected to obtain the correct swimsuits, equipment and team wear as follows:
Swim practices – WSSC cap and any colour swimsuit.
Dry land practice – WSSC shirt, WSSC sweat top, black shorts or pants, proper running shoes
Swim meets – WSSC cap, black swimsuit (unless otherwise approved by a WSSC coach), WSSC shirt/sweat top and black pants/shorts
Social events – WSSC shirt/sweat top
All WSSC swimmers must have:
- 2 goggles
- 1 kickboard
- 1 pull buoy
- Fins
Additional equipment may be required. A complete list of required equipment for each swimmer will be provided by the group coach, or you can find the list on the WSSC website under “Team Practice Equipment”
- Club chain of command
a) Parents of each group will need to address issues of concern directly to their group leading coach
b) Unresolved issues by the group leading coach should be addressed to WSSC Head Coach
- Code of Conduct
It is imperative for swimmers and parents/guardians to treat their coaches and teammates with courtesy and respect. This behaviour is expected from swimmers and their parents/guardians at all times, whether training, competing at meets, or attending social events with or for the Club. Swimmers and parents/guardians who disregard the WSSC code of conduct may be subject to disciplinary consequences.
- Fees, Withdrawal & Late Policy
Amount of swim fees are based on a swimmer’s group. Fees payable to the Club include:
Program fees – first monthly payment is due August 29, 2025. Thereafter, monthly fees are due on the 1st of the month from October 2025 to June 1, 2026, inclusive. These fees cover coaching, pool rental, dryland and club operating expenses pertaining to your swimmer’s group:
Swim meet fees –as incurred to cover costs associated with attending a swim meet such as, but not limited to, meet/event entry fees, travel, accommodation (as applicable).
Team social event fees – as incurred to cover costs associated with attending a team social event.
Swim Ontario fee - this one-time mandatory fee and charged on August 29, 2025. This fee goes directly to Swim Ontario to register your child for competition and insurance:
If you decide to withdraw from the Club, you must email your notice to withdraw to [email protected]. Please note that Swim Ontario fees, dryland fees, meet fees for committed swim meets, and the monthly installment payment for that month are not refundable. Withdrawal begins on receipt of written notification.
Registration Fees and/or Meet Fees are subject to late payment charges of $25.00. Fees not paid by requested due date will result in the swimmer being denied access to practices until their account is in good standing.
- Club Communications
The Club regularly sends communications to members via email. Families are expected to respond to communications in a timely manner. Coaches may use texting apps to communicate with members and/or swimmers. By registering with the Club, you are providing consent for the Club to communicate with you and/or your swimmer.
- Photo & Privacy Policies
The Club or its representatives takes photos and videos of swimmers and/or members of a swimmers’ family at practices, swim meets and team social events for promotional or information purposes. By registering, you are granting permission to the Club to print, photograph and record a swimmer and/or members of a swimmers’ family for use in audio, video or any other electronic, digital and printed media.
Personal Information Protection and Electronic Documents Act (“PIPEDA”): The Club collects and keeps personal information from registered members and swimmers. This information is required for the operation of the Club including, but not limited to, organizing Club events, communicating with swimmers and/or their family members, managing swimmers’ accounts, and entering swimmers’ into swim meets. As and when required to do so, the Club provides information to Town of Whitchurch-Stoufville, Swim Ontario, Swimming Canada and other swim-related organizations. The Club recognizes and respects the privacy of our members and takes reasonable precautions to safeguard this information from unreasonable and/or inappropriate use.
- Team social Events
The Club hosts several team social events over the season such as: Welcome BBQ (October 5, 2024), Winter Holiday Party, Year-end Banquet, Swim group social events (e.g. bowling, group dinners), etc. Swimmers and/or swimmers’ family members are strongly encouraged to participate in these events to foster and maintain team spirit and bonding.
